SOUTH DAKOTA BIT:STATEWIDE "OVERWATCH" THROUGH AUTOMATED ALERTING IN BRIDGE4PS

OVERVIEW
South Dakota has adopted Bridge4PS statewide; and the South Dakota Bureau of Information and Technology (SD BIT) has taken it well beyond everyday messaging. The Bureau built a dedicated Bridge4PS workspace, #SD-Overwatch, that turns the platform into a real-time, automated information-distribution hub for the whole state — pushing critical infrastructure and communications updates to key leaders across dozens of South Dakota agencies and jurisdictions, and keeping the state aware of power outages, network maintenance, weather updates, wildland fire alerts and communications events as they happen.
HOW IT WORKS
Most agencies use Bridge4PS channels to communicate and coordinate. SD BIT takes that a step further by automating critical updates directly into dedicated channels. Instead of relying on someone to see an email and forward it to the right people, important information is automatically delivered to everyone who needs it, in real time. Whether it’s an outage, scheduled maintenance, or a planned event, the same authoritative update reaches every stakeholder at once. This approach reduces delays, eliminates manual information sharing, and keeps important alerts alongside the conversations and coordination they impact, giving teams a faster, more complete picture of what’s happening.
CHANNEL STRUCTURE
- ✓#SD-Overwatch — The main workspace for sharing and discussing SD incidents for situational awareness.
- ✓#SDREA Outages — Automated power-outage alerts showing the affected area (broken by regional channels), number of counties impacted, and other details.
- ✓#SD SDN Maintenance Notifications — Alerts from SDN on service-impacting maintenance, including the impact, scheduled time, location, and a description.
- ✓#SD Communications events — Discussion of communications issues and advance notice of upcoming events or projects, such as planned outages — including the timeline, areas affected, and impacted networks or devices (e.g., FirstNet, AT&T).
- ✓#SD Wildland fires — Automated alerts for wildland fires across South Dakota, bringing awareness to affected counties.
- ✓#NWS – [City] — National Weather Service channels dedicated to individual cities, each receiving automated weather alerts from NWSChat.
CROSS-JURISDICTIONAL PARTICIPATION
The #SD-Overwatch channels bring together personnel from well beyond SD BIT — state agencies, county emergency management, local police and fire, 911 centers, and private-sector partners.
HIGHLIGHTS
Automated alerting:
time-sensitive outage, maintenance, and communications-event notifications are delivered automatically in real time.
Statewide reach:
critical information reaches key leaders across dozens of agencies and jurisdictions at once.
Less Reliance on Email:
important alerts are delivered directly into the collaboration environment where teams are already working, reducing the risk of time-sensitive information getting buried in an inbox.
Information in context:
alerts and follow-up discussions stay together in a single, chronological channel organized by topic, making it easy to see what happened, what changed, and how an issue was resolved.
Custom notifications:
users can set notification preferences by channel, allowing urgent alerts to demand immediate attention while lower-priority updates remain available without unnecessary disruption.
One authoritative source:
every channel member receives the same update at the same time, reducing conflicting information and unnecessary forwarding.

IMPACT OF BRIDGE4PS
By automating the flow of incident, infrastructure, communications, and other time-sensitive information, SD BIT has given South Dakota a shared, always-current operating picture. Key leaders no longer wait for a call or email to learn about an outage or maintenance window — the information comes to them in real time, in the channel built to carry it. Public safety teams statewide can stay ahead of disruptions rather than react to them — a model of what Bridge4PS can do when an agency moves beyond messaging to coordinate an entire state.
“Bridge4PS has provided us an easy and fast way to disseminate important information out to users of the State Radio system. We no longer rely on email distribution lists and keeping them updated. Users have up to date information regarding radio towers, power outages, cell towers, training, and weather.”
